Summary of position

RVC is looking for an Operations Associate who wants an opportunity to learn and grow at a self-managing organization. The Operations Associate will play a vital role in the team, supporting various aspects of RVC’s internal operations. RVC intends to invest deeply in the professional development of this position so that they can grow and develop as the organization grows, gaining increasing levels of responsibility and opportunity over time.
Essential Responsibilities
Office Management (30%)
- Ensure the office is welcoming for both staff and guests, with all necessary amenities kept clean and in working order
- Manage the office supply and food budgets, overseeing all related purchasing
- Provide event set-up and food ordering support
- Oversee logistics for internal RVC retreats/events
- Maintain an office culture that is culturally responsive and promotes the wellbeing of our staff and community
- Ensure the organization has strong disaster management policies and provide organizational support in navigating disasters effectively
Financial and Human Resources Activities (30%)
- Manage all RVC internal Accounts Payable needing payment via check, by processing invoices, writing checks, and ensuring all necessary documentation is submitted
- Manage incoming funds received via check by depositing checks and submitting documentation
- Oversee PEX Card system, ensuring all employees are able to make purchases easily and that all necessary documentation is collected and submitted in a timely fashion
- Process reimbursements and other financial paperwork
- Generate financial reporting for internal RVC grants
- Reconcile timesheets and provide payroll support
- Support search and hiring processes, including doing job outreach and scheduling interviews
IT Support (15%)
- Provide basic IT support for staff, including printer/scanner upkeep and Internet troubleshooting
- Purchase and set up laptops/related tech needs for employees
- Act as point of contact for IT consultant handling more complex IT support needs
Organizational Support (15%)
- Take meeting notes, organize documents, and track data
- Oversee the general RVC email and phone, ensuring communications are passed on to the appropriate person and that every contact is responded to promptly
- Take the lead on special projects related to internal operations and otherwise provide additional support as needed
General Operations (10%)
- Collaborate with staff in making key strategic decisions affecting RVC’s future
- Engage in deep professional development
- Participate in staff meetings/retreats, attend community events, and otherwise contribute to strengthening the deep roots within our community, both internally and externally
- Submit and track program expenses based on RVC protocol

Our Hiring Process & Timeline:
We will review applications on a rolling basis until the position is filled
- We will begin scheduling phone interviews in July.
- We will begin in-person one-hour interviews in August. If you are invited for an in-person interview, we will ask for two work samples relevant to this position, e.g. a process you created, a writing sample, or other relevant materials.
- Finalists will be invited to a second-round one-hour interview, and we will make an offer shortly thereafter.
- We would like to have the selected candidate start in September.
